Bookkeeping and Tax Questions, Answered

Straight answers to the questions we hear most from individuals and small business owners: what a bookkeeper does, what it costs, what reports you get, and how it all works with your CPA.

Choosing a Bookkeeper

Choosing a Bookkeeper

The questions owners ask before hiring anyone to touch their books.

What does a bookkeeper actually do?

A bookkeeper keeps your financial records accurate and current: recording income and expenses, categorizing transactions, reconciling your bank and credit card accounts, and producing monthly reports that show how your business is really doing. In short, we make sure your numbers are right all year long, not just at tax time.

What's the difference between a bookkeeper and an accountant?

A bookkeeper keeps day-to-day records current and accurate; an accountant or CPA analyzes those records, plans for taxes, and signs off on filings. Most small businesses need both: clean books from a bookkeeper and a CPA who uses them. We keep your books CPA-ready and work directly with your CPA at tax time.

How do I choose the right bookkeeper?

Look for three things: real experience with businesses like yours, clear answers about software and the reports you will receive, and a straightforward process for getting caught up if you are behind. Our article on the questions to ask before you hire a bookkeeper gives you a checklist you can bring to any first call.

Do I need a bookkeeper, or can I keep doing it myself?

Many owners start out doing their own books in QuickBooks or a spreadsheet, and that is fine at first. It stops working when transaction volume grows, the accounts stop reconciling, or tax deadlines start eating your time. If you spend hours each month on records instead of running your business, that is usually the point to bring in a bookkeeper.

How much does a bookkeeper cost?

Most bookkeeping is priced monthly, based on transaction volume and the services you need, not by the hour. Simple books for a solo business cost less than a busy restaurant with payroll entries and inventory. We give you a clear quote up front after a short conversation, so you know the cost before any work starts.

Want a Bookkeeper Who Answers These Questions Clearly?

Ongoing bookkeeping keeps your records organized, your accounts reconciled, and your reports ready for tax time.

Working With Clear Path

Working With Clear Path

How we work, what you get, and where our services start and stop.

Do you have experience with my industry?

We work with the small businesses that make up most of the San Antonio economy: contractors, restaurants, retail shops, service businesses, landlords, and self-employed professionals. Each keeps books differently, so we tailor the chart of accounts and reports to how your business actually runs.

What software do you work in?

Our primary platform is QuickBooks Online, and we also help clients coming from spreadsheets or other simple systems. If your books live somewhere else, tell us what you use and we will tell you honestly whether we can help or whether it needs migrating first.

How QuickBooks cleanup works

What reports will I get each month?

Every monthly engagement includes a profit and loss statement and a balance sheet, and we walk you through what they mean instead of just emailing them. You also get your reconciled accounts and a clear picture of cash flow, so you can make decisions with current numbers.

Who has access to my bank accounts, and how is my data kept secure?

We use read-only bank feeds inside QuickBooks: we never need your banking login or the ability to move money. Your records stay in your own QuickBooks file, access is limited to the people working on your books, and your information is never shared or sold.

Can you handle payroll and sales tax too?

We do not file payroll or sales tax returns yet. What we do is keep the entries clean and organized, payroll runs, sales collected, payments made, and coordinate directly with your CPA or payroll provider so every return is filed with accurate numbers behind it. If you need those returns filed, we will tell you plainly and point you to the right person.

What happens at tax time — do you work with my CPA?

Yes. Clean books make tax preparation faster and cheaper, and we hand your CPA organized reports and reconciled accounts. If you also need your personal or business return prepared, we handle that too, and if you have a CPA you love, we work alongside them.

About our tax preparation services

What's your cleanup process if my books are behind?

Cleanup starts with a review of where your books stand, then a defined sequence with an end date: reconcile one account at a time, fix miscategorized transactions, and confirm the numbers match your bank. You get a clear quote for the catch-up work before we start, and books you can trust when it is done.
